Clients and contacts

Clients are the companies you look after. Each client has a client number (CS-0001 and so on, assigned automatically), industry, tier, Health (Healthy, At Risk, Critical), ARR, renewal date, account owner (the CSM responsible), customer status (Active or Churned) and more. The open balance and days to renewal are calculated for you.

Contacts are the people at your clients: name, title, email, phone, and whether they are the primary contact. Each contact belongs to a client.

To add one, open the list (for example Clients) and click New Client. To add a contact for a specific client, open the client and use New in its Contacts list; the client is filled in for you.

Record pages

Every record (a client, contact, invoice and so on) opens on its own page:

  • Header: the record name, its most important fields, and Edit / Delete. View-only members see a "View only" label instead.
  • Notes at the top: quick notes anyone in the team can add, edit, close or reopen. Open notes come first. Lists show a small badge on records with open notes.
  • Overview: the record's details in sections, plus related lists on the right (for example a client's contacts, renewals and invoices). Clients also show their Health card and usage chart here.
  • Tabs for each related list (for example "Contacts 2"), with search and sorting.
  • History: every change to this record: who changed what, when, from what to what, and how (in the app, by import, through the API, or by an automation).

Deleting records

Click Delete on a record and confirm in the bar that appears at the top of the page. The bar tells you exactly what will happen first:

  • When you delete a client, its playbooks, playbook steps and their tasks are deleted with it.
  • Other linked records, such as contacts, invoices, renewals and tasks outside playbooks, are kept but lose their link to the client.
  • Files attached to the deleted record are removed.

Deletions are recorded in the audit log.

Conversations and meetings

Log your emails and calls as Conversations (subject, date, channel, direction, sentiment, summary or email text, next steps) and your meetings as Meetings (title, start, duration, type, status, location, agenda, outcome and notes).

On a client or contact, they appear as a timeline: upcoming items first (soonest first), then past ones (newest first). Each card shows the full summary or email, and a conversation's page shows "Earlier with <client>".

Conversations and completed meetings count towards the client's engagement in the health score, and the sentiment of recent conversations counts too.

Tasks

A task has a subject, client, contacts, due date, status (Not started, In progress, Waiting, Done), priority and assignee. Its Due status is worked out for you: Overdue, Due this week, Upcoming, No due date or Done.

You can tick tasks off from My day, from a playbook's plan, or by editing the task. Overdue open tasks lower the client's health score.

Lists, filters and saved views

Each object has a list page with:

  • a search box and a filter for each choice, person and link column (for example Health: At Risk);
  • sortable columns and a totals row for money columns;
  • Columns to add, remove or reorder columns, saved just for you;
  • Pin to add the object to your Pinned menu;
  • Export CSV and Import CSV.

Saved views keep a set of conditions, columns and sorting under a name in the Views menu. Click Save as view on a list, or + next to Views. Conditions depend on the field type, for example "Renewal date is this quarter", "ARR > 50,000" or "Account owner is me". A live count shows how many records match while you edit. Views are personal; administrators can also share them with everyone.

Boards

Renewals, Expansion and Goals also have a Board tab: one column per stage or status, with a count and a total for each column.

To move a card, drag it to another column (mouse or touch), select it and press ← or →, or use its Move to… list. The change saves straight away and runs the same rules as editing the record: for example, moving a renewal to Won updates the client's ARR and renewal date. View-only members see the board but can't move cards.

The app remembers whether you last used Table or Board for each object.

Files

You can attach files (contracts, QBR decks, PDFs, images) to records that have a file field, such as a client's Documents. Images, PDFs, text, CSV, audio and video open in a built-in viewer; other files download.

The Files page in the left menu lists every file in the workspace with the record it belongs to. The top search also finds files by name.

Pickers that you can type into

Fields that point to another record or a person (for example Client, Contact or Account owner) are type-to-search pickers. Start typing a name to narrow the list, use ↑/↓ and Enter to choose, and click ✕ to clear. They work the same way in forms, filters, Team reassignment and playbook templates, even with thousands of records.
