What is XPI CRM?

XPI CRM is a customer success CRM. It helps your team keep customers and grow accounts: see which clients are at risk before they churn, never miss a renewal, and find expansion in the accounts you already have.

Everything sits in one workspace: clients, contacts, conversations, meetings, tasks, invoices, product usage, renewals, expansion, surveys, goals and playbooks. A health score and alerts tell you where to look first, and playbooks turn your best practice into steps that start on their own.

XPI CRM is free to use, with every feature included. Larger teams that want help can talk to us about Enterprise (premium support, onboarding, data migration and training).

Create your account and workspace

  1. Go to xpicrm.com and click Start now.
  2. Sign up with your work email and a password, or click Continue with Google or Continue with Microsoft.
  3. If you used email, confirm your address with the link we send you.
  4. Give your workspace a name, usually your company name. You become its Administrator.
  5. Choose Load sample data to explore with example clients, or start with an empty workspace and import your own (see "Import your data").

A workspace is your company's private area. Its data is only visible to its members. One login can belong to several workspaces.

Sign-in options

You can sign in with:

  • Email and password, with a "Forgot your password?" link on the sign-in page.
  • Google (Gmail or Google Workspace accounts).
  • Microsoft (Microsoft 365 work or school accounts, and personal Outlook or Hotmail accounts).

If you use Google or Microsoft with the same email address as an existing XPI CRM account, you sign in to that same account; no duplicate is created.

To see or change your sign-in methods, open your name in the top right → Account → Sign-in methods. There you can connect Google or Microsoft, disconnect one, or set a password. You can't remove your last sign-in method.

After 3 wrong passwords, the sign-in page asks you to complete a quick bot check.

Invite your team and choose roles

Administrators invite teammates in Setup → Users & roles: enter their email address and pick a role. They get an email invite and can accept it with any sign-in method, as long as they sign in with the invited email address.

Administrators can change a member's role or deactivate them at any time. A workspace always keeps at least one active administrator.

Admins can also limit invites to your company's email domains (for example only @yourcompany.com) under Setup → Users & roles.

Find your way around

Top bar: search across all records and files, the ? Help menu (help for the page you're on, the help centre and what's new), and your name (Account, Log out).

Left menu:

  • My day: your start page, with a red count of open alerts.
  • Dashboard: retention, renewals, risk and revenue at a glance.
  • Reports: ARR movement and ARR over time.
  • Team: each person's book of business.
  • Pinned: the objects you use most. Click the ☆ next to any object to pin or unpin it.
  • All objects: every object in your workspace. Click the heading to collapse it, so the menu stays short; your choice is remembered.
  • Views: saved lists, such as "Clients renewing this quarter".
  • Files, Setup (administrators), and System status (site administrators only).

You can drag the menu's edge to make it wider or narrower, or collapse it to icons with Collapse menu.

Import your data

Every list has an Import CSV button, for example on Clients or Contacts.

  1. Export your data from a spreadsheet or your old tool as a CSV file with a header row (up to 10 MB and 20,000 rows).
  2. Click Import CSV and choose the file.
  3. Check the column matching: XPI CRM matches columns to fields by name, and you can change any of them.
  4. Choose how to update existing records: tick the fields that identify a record (for example Email for contacts). Rows that match update that record; other rows create new ones. Tick nothing to always create new records.
  5. Click Preview to see what will be created, updated or refused, and why.
  6. Click Import. Rows with errors are skipped and you can download them to fix and import again.

Links to other records are matched by name (for example a contact's client "Acme Corporation"), and people by email or name. Calculated fields can't be imported. Imports run your automations too, so a client imported with Health "At Risk" can start an At-risk recovery playbook.

Your start page: My day

My day is the first page you see after signing in. It shows what needs your attention today. Use the My accounts / Everyone switch at the top to see only your clients or the whole team's; your choice is remembered.

  • Key figures: your accounts and their ARR, how many need attention, renewals in the next 90 days, tasks due this week (with overdue count), and meetings in the next 7 days.
  • Alerts: up to 12, most urgent first. Click Dismiss to hide one for 30 days (only for you).
  • Tasks due this week, including overdue ones. Tick a task to mark it done.
  • Meetings in the next 7 days.
  • Renewals in the next 90 days, with stage, value, health and days left.
  • Clients needing attention, lowest health score first.
  • Open notes you wrote or that are on your clients.
